Business Operations Consulting

what we do

Process Optimization

Optimizing your processes focuses on improving the overall efficiency and effectiveness of your company’s operations. The goal is to identify bottlenecks, streamlining workflows, and eliminating any waste.

Bonus: your employees will love you for this!

  • Processes & Procedures – The goal is to find the best way to do a certain task and write down or screen record the steps and resources to get it done. This ensures it is done exactly the way you want every single time. It’s simple, next time one of your office or field employees does a task, turn on the recording and go.
  • Roles & Responsibilities – Every job in your business has a description and what the responsibilities are for that job. It is more important than ever to make sure each employee knows exactly what they’re supposed to do. This is even more helpful for a small business where an employee performs tasks in multiple departments.
  • Improving Communication – Every person has a preferred way of communication whether it is a phone call, text, or email. Talk with each employee and determine which method is most effective for each situation and/or each employee individually.
  • Right People In The Right Seats – Talk to your employees about what tasks they love doing and what fires them up. Because they love doing it they’ll likely do it better and faster than you would.

Project Management

Completing a project from start to finish requires multiple components that need to flow efficiently. Inefficiencies lead to chaos and losing money. Investing in a CRM is the best way to avoid mistakes and confusion.

01. Receiving Requests

Using a CRM allows you to add forms and links directly to your website or social media pages so when a client fills out a work request form it automatically creates an account for them with all of their personal and job information.

02. Scheduling a Visit

The same CRM allows you to coordinate with the customer directly through the app to schedule a day and time to come look at the job then sends them a confirmation and reminder.

Pro tip: If the customer doesn’t need to be home for the visit, you can do a bunch of these in one day to save time.

03. Providing a Quote

When writing the quote, the CRM will email and text it right to the customer for their signature of approval and notify you when it has been approved.

Pro tip: For each type of project, create a template to help you get started and finish faster. This will also be helpful when you need another employee to start creating quotes.

04. Scheduling the Job

Determine your needs for time, material, and labor and schedule it in the CRM app. It will immediately notify the customer and send a reminder as you get closer to the start date.

Pro tip: If you’re already booked out far in advance, it’s ok to wait to get a customer on the schedule. Just know whose job it is to track and remember. You can also schedule the job far in advance but let the customer know in writing that it is subject to change based on weather.

05. Sending an Invoice

When the job is done and quality control has approved it, your field employee can instantly generate and send an invoice to the customer directly in the app.

Pro tip: The project scope and price are carried over from the original quote so there is no risk of something going wrong on your end with this process.

06. Getting Paid

Have multiple payment methods available and determine which employee is going to track receiving it and that the amount is correct.

Pro tip: This employee must be super organized and know how to use the CRM effectively.

07. Send a Receipt

Once you have been paid in full, instantly send a receipt to the customer through the app.

Pro tip: Include a link for a review on Google or other platforms.
